How Melendez Collegiate Advising and the Melendez Collegiate Advising app collect, use and protect information — including information about the young athletes we advise.

Privacy policy
The short version
- We collect what we need to advise athletes and run showcases: profiles, results, messages, bookings and payments.
- Most of the athletes we advise are under 18.
- A public profile is off until it is published, and a family can unpublish it at any time.
- We never sell your information or use it for advertising. It is never used to train AI models, to build benchmarks, or to market other products.
- You can delete your account in the app or on this website. The login goes at once; the rest within 30 days.
Who we are
Melendez Collegiate Advising runs this website and the Melendez Collegiate Advising app. The software behind them is built and operated for Melendez Collegiate Advising by Llambes Studios, which handles your information only to run the platform for Melendez Collegiate Advising. Melendez Collegiate Advising owns the information on the platform.

What we collect
About athletes:name and preferred name; date of birth; email address and phone number; school, city and state, club team and jersey number; class year, positions, bats and throws, height and weight; academic information such as GPA, SAT and ACT scores and NCAA ID, and documents a family uploads, such as a transcript; a profile photo and a short bio; links a family adds to video, stats pages and social profiles; showcase registrations, check-ins, measured results and season stats; a college commitment; our advisors’ notes, evaluations and scouting reports; and the recruiting checklist and list of target schools.
About parents and guardians: name, email address, phone number and relationship to the athlete.
Messages: conversations between families and our advisors, and files attached to them.
Bookings:consultation requests and appointments — contact details, the athlete’s name and class year, and what you would like to discuss.
Payments: invoices, what they were for, amounts and whether they are paid. Card numbers are entered with Stripe and never reach us.
College coaches: name, email address, college and title, the profiles they open and the watchlists they keep.
Accounts and devices:your sign-in email address and password (the password is stored only in scrambled, one-way form by our sign-in provider), when you sign in, and a record of changes made on the platform. If you turn on notifications in the app, we also keep a device token, the device’s name and type, and the app version, so we can deliver them.
Website visits: our hosting provider keeps standard request logs (IP address, time and page). We use cookies only to keep you signed in. There is no advertising, analytics or tracking code on this website or in the app.
Where it comes from
- From you — the forms on this website, the app, and your messages to us.
- From Melendez Collegiate Advising’s staff and advisors, who keep each athlete’s record.
- From showcases: testing equipment and our staff record results at each station.
- From pages you point us to. When you give us a stats-page link, we read the stats on that page.
- From Melendez Collegiate Advising’s own records from before this platform, if you were already a client.
How we use it
- To advise athletes and help them get recruited.
- To build athlete profiles and share them with the college coaches we work with.
- To run showcases: registration, check-in, results and reports.
- To exchange messages and book consultations.
- To take payments and keep our accounts.
- To send the in-app notifications that go with these.
- To keep the platform secure and fix problems.
Melendez Collegiate Advising’s staff write every scouting report. The platform can prepare a first draft from the athlete’s own record, inside the platform, and a person edits and approves every report before anyone outside Melendez Collegiate Advising sees it. Information about an athlete or a family is never sent to an outside AI service.
Service providers
These companies handle information for us. Each receives only what its service needs, and their terms with us require them to keep it confidential and secure and to use it only to provide that service.
Supabase — Database, sign-in and file storage
Everything described on this page is stored here, in the United States.
Vercel — Hosts the website and the app server
Every page request passes through it, including what you type into forms. It keeps standard request logs (IP address, time, page).
Expo, Apple and Google — Deliver app notifications
If you turn on notifications in our app: a device token, and the notification text, which can include an athlete’s name.
Videos on a profile
When a profile plays a video from YouTube, Vimeo or Hudl, the video comes from that service, which can see the viewer’s IP address and follows its own privacy policy. YouTube videos play in its privacy-enhanced mode and Vimeo videos with its do-not-track setting.
How we protect it
- Every connection to the website and the app is encrypted.
- The database and stored files are encrypted at rest by our hosting provider.
- Who can see what is enforced by the database itself, so a mistake on one screen cannot show someone data they are not entitled to.
- Staff accounts can use two-step sign-in, and Melendez Collegiate Advising can require it. Anyone can turn it on for their own account.
- Changes are recorded in an activity log that Melendez Collegiate Advising can review.
How long we keep it
We keep information while an athlete is working with Melendez Collegiate Advising, and until you or Melendez Collegiate Advising asks for it to be deleted. If Melendez Collegiate Advising stops using the platform, its information is returned to it or deleted, as Melendez Collegiate Advising chooses.
When you delete your account, the login is removed straight away. The rest of your personal information is erased or made anonymous within 30 days, once Melendez Collegiate Advising’s staff have processed the request. We keep only:
- payment records, for as long as tax and accounting law requires. Your email address is taken off them, and so is your name — unless your athlete stays a client, in which case their invoices keep the family name;
- a waiver signed for a showcase, as it was signed;
- measured showcase results, under an anonymous entry with no name, so an event’s results stay complete;
- a record that the request was made and completed (dates and counts, with no personal details), and a copy of the confirmation message addressed to you.
How to delete your account, with or without the app.
Your choices
- See and correct your athlete’s profile on the profile page. For anything you cannot edit yourself, such as a name or date of birth, ask your advisor.
- Publish or unpublish a profile at any time.
- Turn notifications off in the app, in your device settings, or on the Notifications page of this website.
- Turn on two-step sign-in for your account.
- Delete your account — see Delete your account.
Children and teenagers
Most athletes we advise are high-school students under 18. Their information comes from their parents or guardians, from our advisors and from the athletes themselves. A parent or guardian linked to an athlete can see that athlete’s information and can delete it. The platform is not meant for children under 13; if you believe we hold information about a child under 13 without a parent’s consent, contact us and we will delete it.
Changes to this policy
When this policy changes, the date at the top changes with it.
